This Privacy Policy explains how the Ward 92 Community Portal (“we”, “us”) collects, uses, and protects personal information in accordance with the Protection of Personal Information Act 4 of 2013 (POPIA).

1. Responsible Party

The responsible party is the Ward 92 Community Portal, operated by the Ward 92 Portal Team for the benefit of residents of Ward 92 (Savannah Hills, Countryview, Randjesfontein, Kaalfontein), Johannesburg.

2. Personal Information We Collect

Through our website forms we collect:

• Name
• Email address
• Telephone number (optional on some forms)
• Content of messages, issue reports, community posts, or advertising enquiries

We do not intentionally collect special personal information (such as health, biometric, or religious data) through these forms.

3. Purpose of Collection

We collect this information solely for the following purposes:

• Responding to issue reports and service delivery enquiries
• Publishing moderated community posts
• Responding to advertising enquiries
• Community communication related to Ward 92 matters

Supplying the information is voluntary. If you do not provide it, we will not be able to respond to your submission or process your request.

4. How We Process and Share Information

Issue reports and advertising enquiries are handled by a small form script on our own web hosting account, which sends them by email to the portal mailbox (webmaster@ward92.co.za). We do not use a third-party form service.

Community Board posts are stored on our web hosting account for 24 hours and then deleted automatically. To keep the board safe, the text of each post is checked against a word list and by an automated moderation service (OpenAI), which may process it outside South Africa. IP addresses are not stored; a one-way anonymised code is used only to limit repeat posting.

We do not sell personal information. Access is limited to the webmaster and authorised persons involved in responding to submissions or moderating content.

5. Retention

We retain personal information only for as long as necessary to respond to the enquiry, moderate and publish relevant content, or for legitimate community record-keeping purposes. Information that is no longer needed will be deleted or de-identified.

6. Your Rights

Under POPIA you have the right to:

• Access the personal information we hold about you
• Request correction or deletion of your information
• Object to the processing of your information
• Lodge a complaint with the Information Regulator

7. Security

We use HTTPS to protect data in transit, and the folders that hold form data are blocked from public access. No method of transmission over the internet is 100% secure.

8. Cookies

This site currently uses minimal or no tracking cookies. If analytics or other cookies are added in future, this policy will be updated.

9. Changes

We may update this policy from time to time. The latest version will always be available on this page.
